Who we are

What information we collect
When you get in touch through our contact form or by email, we may collect your name, email address, phone number (if you provide it), details about your business (for example, whether you're a sole trader or limited company), and anything else you choose to tell us about your enquiry.
If you go on to become a client, we'll collect further information needed to provide bookkeeping and tax compliance services. That's covered separately in our engagement terms, agreed with you before any work begins.
How we use your information
We use your information to respond to your enquiry, provide a quote, and get in touch about the services you've asked about - and, if you become a client, to provide the bookkeeping and tax services you've engaged us for. We don't use your information for anything else, and we don't sell or share it with third parties for marketing purposes.
Our legal basis for using your information
Where you contact us with an enquiry, we rely on your consent (given when you submit the contact form) and our legitimate interest in responding to enquiries about our services. Where you become a client, we rely on the contract between us, and our legal obligations as a provider of bookkeeping and tax services.
Who we share your information with
Our contact form is processed by Formspree, a third-party form service that delivers your enquiry to us by email, acting as a data processor on our behalf. We don't share your information with any other third party without your consent, except where we're required to by law - for example, when submitting information to HMRC or Companies House on behalf of a client.
How long we keep your information
If you contact us with an enquiry that doesn't go any further, we'll keep your details for as long as reasonably necessary to respond, and then delete them. If you become a client, we keep your records for the period required by UK tax and accounting law - normally at least 6 years after the end of the relevant tax year.
Cookies and website analytics
This website doesn't use cookies or analytics tracking. Google Fonts, used to display text on this site, may load resources from Google's servers, which can involve your device's IP address being shared with Google as part of that request.
Your rights
Under UK data protection law, you have the right to ask for a copy of the information we hold about you, ask us to correct anything that's inaccurate, ask us to delete your information where we don't have a legal reason to keep it, ask us to restrict or object to how we use your information, and ask for your information in a portable format.
To exercise any of these rights, contact nick.piner@pinesbookkeeping.co.uk. If you're unhappy with how we've handled your information, you also have the right to complain to the Information Commissioner's Office.
